Filling a mandatory form set from the matter record
State form sets are fillable AcroForm PDFs with named fields, not templates. One California family matter pulls FL-150 for income and expenses, FL-142 for assets and debts, MC-025 for anything that overflows a box and FL-335 for proof of service by mail, all repeating one caption. Populating named fields from Clio is deterministic. The failure that costs a day is subtler: forms carry a revision date, courts publish new revisions on their own schedule, and a filing made on a superseded revision comes back with the fee already paid.
The same client name is typed into the conflicts database, the practice management system, the document management system and the ledger, and a conflict is only found later if two people spelled it the same way.
A firm organises everything by matter, and the matter record is created by hand from an intake form. That single re-keying step seeds four systems, and because there is no shared identifier between them, every later reconciliation is a name match against human typing.
