Building the renewal submission packet ahead of the expiration date
Most of the renewal packet already exists. The ACORD 125 and its line sections from last year sit in Applied Epic, property schedules sit on an ACORD 139, and Indio can prefill prior year answers so the question put to the insured shrinks to what changed. The complication is that every market wants a different subset with its own supplemental attached, so a packet is built per market rather than once. Ordering loss runs is the piece with a lead time nobody in the agency controls.
A certificate request arrives as a sentence in an email, and answering it correctly requires deciding which endorsements the policy actually grants.
The agency management system is the record, and a standardised download feed keeps parts of it current. The feed is positional flat file in origin, its coverage varies by carrier and by line of business, and a policy that arrives without matching an existing record lands in a queue somebody clears by hand.

When this is the wrong thing to build
Pick something else if the commercial book is small enough that one account manager carries every renewal in memory, or if the accounts are specialised enough that each packet gets rewritten rather than reassembled. Assembly pays where the shape repeats and the volume is real.
The constraint that shapes it
Producing a quote or binding coverage happens under a licence that is issued per state and per line, and separately under a carrier appointment, so a person can be licensed without being appointed. More on how this sector works.
A deadline arrives. The bundle builds itself from what is already there. Read what this shape is, or start from one of these.
- Building a commission disbursement authorization at closing
- Drafting a seller net sheet from a payoff statement
- Building a demand package the adjuster can actually open
- Filling a mandatory form set from the matter record
- Drafting the disbursement statement behind a settlement payment
- Getting the job photos onto the invoice before it sends
